CRM Assistant/Office Administrator

We are a friendly forward thinking Chartered Accountants practice based in Fulwood Preston. We require an experienced and enthusiastic team member who wants to be part of an expanding business.

Main Purpose of Job

To provide administrative support for the firm including assisting in the implementation and running of the CRM system.


Responsible to: The Director/Office and Accounts Managers

Liaise with: All other members of staff

Main Tasks of Job

CRM Tasks

  • Work with other team members in the implementation of the CRM system.
  • Work with team members, including data entry, to ensure the CRM system records are up to date
  • Help design and implement reports for the CRM system to improve existing client service levels
  • Help to design and implement new workflow systems
  • Help to design and implement marketing tracking
  • Help to design, prepare and send information emails to existing and prospective clients
  • Help build prospective client list

Administrative Support in conjunction with other administrative team members

  • Answer incoming telephone calls in line with procedure
  • 'Meet and greet’ clients/visitors to the practice
  • Provide refreshments for clients/visitors when required
  • Dealing with client and office correspondence in line with procedures
  • Dealing with new client, client amendment and client deletion forms
  • Maintain office archive system
  • Undertake typing (including confidential typing) to a high standard
  • Log and frank outgoing mail
  • Cover for Office Manager as and when required
  • Provide clerical support for all members of staff when required
  • Carry out further tasks as may be delegated to you

Essential Skills

  • Good level of numeracy and literacy
  • Excellent attention to detail
  • Be organised, proactive, flexible and able to prioritise tasks
  • Good communication skills
  • 12 months experience of using a CRM system (preferably Sugar CRM)
  • Microsoft Office – Word/Excel/Outlook
